Signforus (“Signforus”, “we”, “us”, or “our”) provides an email signature management service that helps teams create, deploy, and keep their email signatures consistent across email platforms such as Google Workspace, Microsoft 365, and Zoho Mail. 02Scope of this policy

This policy applies to our website, our waitlist, and the Signforus product as it becomes available. Signforus is an early-stage product. Some features described in our marketing (such as one-click deployment and platform integrations) are being rolled out progressively, and this policy will be updated as our data practices evolve.

03What personal data we collect

Information you give us when you join the waitlist

Your email address.
Optional details you choose to share: your team size, the tool you use for signatures today, and your biggest signature-related pain point.

Information you give us if you create an account

Account details such as your name, work email, and organisation name.
Billing details needed to process a paid subscription. Payments are handled by our third-party payment providers — we do not store your full card or bank details on our servers.

Signature content you or your team provide

Details used to build signatures, such as names, job titles, work email addresses, phone numbers, profile photos, company logos, and social or website links.
This information is usually added by an account administrator on behalf of their team. Administrators are responsible for having a lawful basis to share their team members' details with us.

Information we collect automatically

Basic technical data such as your IP address, browser and device type, and pages visited, used to keep the service secure, prevent abuse, and understand usage.
Essential cookies required for the site to function. We aim to keep cookies minimal and to use privacy-friendly analytics.

Information from integrations you authorise

If you connect Signforus to a platform like Google Workspace, Microsoft 365, or Zoho, we access only the data needed to deploy and manage signatures (for example, directory information and email signature settings), using the permissions you grant. We do not read the content of your emails.

04How we use your data

We use personal data for the following purposes:

To operate the waitlist and let you know when access is available.
To provide, maintain, and improve the service — including creating and deploying signatures.
To process payments and manage subscriptions.
To respond to your questions and provide support.
To send important service messages (such as billing, security, or changes to our terms). We will only send product or marketing updates where you have opted in, and you can opt out at any time.
To keep the service secure, prevent fraud and abuse, and enforce our terms.
To comply with applicable laws and respond to lawful requests.

05Consent and your choices

We process your personal data with your consent — for example, when you submit the waitlist form or create an account — and as needed to provide and secure the service. You give consent through a clear action, and you may withdraw it at any time; this does not affect processing already carried out.

We aim to handle your data in line with applicable Indian data protection law, including the Digital Personal Data Protection Act, 2023.

06How we share data

We do not sell your personal data. We share it only with service providers who help us run Signforus, and only to the extent needed. These currently include:

Cloud hosting and database providers that store our data securely.
An email delivery provider for transactional messages (such as waitlist and account emails).
Payment providers that process subscription payments.
Platform APIs (Google, Microsoft, Zoho) that you authorise, solely to deploy signatures.
Analytics and error-monitoring tools that help us keep the service reliable.

We may also disclose data if required by law, to protect our rights or users, or as part of a business transfer (such as a merger or acquisition), in which case we will ensure your data remains protected.

07Data storage and security

We take reasonable technical and organisational measures to protect your data, including encryption of data in transit, access controls, and limiting who can access personal data. No method of transmission or storage is completely secure, but we work to protect your information and to improve our safeguards over time.

If a personal data breach occurs, we will act promptly and, where required, notify affected individuals and any relevant authority.

08How long we keep data

Waitlist details are kept until we launch and you have had the chance to create an account, or until you ask us to remove them — whichever is earlier.
Account and signature data are kept for as long as your account is active, and for a reasonable period afterwards to meet legal, accounting, or security obligations.
When data is no longer needed, we delete or anonymise it.

09International transfers

Some of our service providers may store or process data on servers located outside India. Where this happens, we take steps to ensure your data continues to be protected and that transfers comply with applicable Indian law.

10Your rights

Subject to applicable law, you have the right to:

Access a summary of the personal data we hold about you and how we process it.
Request correction of inaccurate or incomplete data.
Request erasure of your personal data where it is no longer needed.
Withdraw your consent at any time.
Raise a grievance or complaint with us about how we handle your data.

To exercise any of these rights, email us at support@signforus.com. We will respond within a reasonable time. Note that if you are a member of a customer's team, some requests may need to be directed to that customer (the administrator of your organisation's account).

11Children's data

Signforus is a business tool and is not directed at children. We do not knowingly collect personal data of anyone under the age of 18. If you believe a child has provided us with personal data, please contact us and we will delete it.

12Changes to this policy

We may update this policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you. Your continued use of Signforus after an update means you accept the revised policy.
